IN-NELL Officers

Roles and Responsibilities

 

President

The President shall be the principal executive Officer of IN-NELL. His/Her functions are the following:

  1. Set vision and objectives for IN-NELL annually.

  2. Supervise and control all of the business and affairs of the IN-NELL

  3. Develop the agenda for all meetings of the Board of Directors

  4. Preside at all meetings of the Board of Directors

  5. Appoint all committees and committee chairs

  6. Review and approve annual expense budget

  7. Represent IN-NELL before other organizations such as IFLTA

  8. Planning and administration of the two semi-annual conferences with the assistance of the Vice President

  9. Conference-related duties (pre-conference)—

    • Propose conference theme and date; ask for recommendations

    • Propose potential keynote speaker/ conference presenter(s); ask for recommendations

    • Invite and secure commitments of speaker/presenter(s)

  10. Conference-related duties (during conference)

    • Welcome all participants to the conferences.

    • Present awards during the Spring Conference

  11. Conference-related-duties (post-conference)

    • Review and summarize evaluations from participants to be discussed in the follow up meeting.

  12. Develop and execute a new Board member recruitment plan, with the assistance of the IN-NELL Vice President and the Immediate.

  13. Develop progression and succession plan for all members of the Board of Directors.

  14. In general perform all duties incidental to the office of President and such other duties as may be prescribed by the Board of Directors from time to time.

 

Vice-President

In the absence of the President or in the event of his/her death, inability or refusal to act, the Vice-President shall perform the duties of the President, and when so acting, shall have all the powers of and be subject to all the restrictions upon the President. Primary responsibilities of the Vice President are:

  1. Represent IN-NELL before other organizations such as IFLTA

  2. Support planning and administration of the two semi-annual conferences with the President.

  3. Development of IN-NELL award candidate nominations, e.g., TOY award, Rising Star, etc.

  4. Conference-related duties (pre-conference)—

    • Plan details for Conference, e.g., location, food, supplies, raffle, handouts, and folders for participants, etc…

    • Make sure all details are taken care of for the Conference

  5. Conference-related duties (during conference)

    • Be the time keeper and make sure agenda is on track.

    • Run the raffles during breakfast

    • Make sure to collect all evaluation forms from participants.

  6. Conference-related-duties (post-conference)

    • Supervise that the site of Conference is left in order and clean

  7. Coordinate preparation and facilitate such events as the IN-NELL Breakfast/Swap Shop during IFLTA Annual Conference and/or Central States Conference

  8. Learn the function of the president such that he/she will be able to step up to the position of President in the next term.

  9. Assist the President in the development and execution of the new Board member recruitment plan.

  10. Perform such other duties as from time to time may be assigned to him/her by the President or by the Board of Directors.

 

Immediate Past President

The Immediate Past President shall have the following responsibilities

  1. Provide guidance to the IN-NELL President in all matters associated with the discharge of his/her responsibilities

  2. Represent IN-NELL before other organizations such as IFLTA

  3. Update and maintain the IN-NELL Website

  4. Conference-related duties (pre-conference)—

    • Post upcoming Conference information on Website.

    • Upload Conference registration form for participants as well as for vendors.

  5. Conference-related duties (during conference)

    • Support the rest the Board as needed.

  6. Conference-related-duties (post-conference)

    • Post on website pictures and or reviews from the conference.

  7. Assist the President in the development and execution of the new Board member recruitment plan

  8. Perform such other duties as from time to time may be assigned to him/her by the President or by the Board of Directors.

 

Secretary

The secretary shall:

  1. Take minutes for all IN-NELL Board Meetings, and submit to IN-NELL Officers for approval.

  2. Be custodian of all IN-NELL records.

  3. Maintain and update the IN-NELL Membership list in conjunction with the IN-NELL Treasurer when new members are added.

  4. Represent IN-NELL before other organizations such as IFLTA

  5. Conference-related duties (pre-conference)--

    • Prepare a box for Conference Evaluation Forms, and bring to the conference.

    • Prepare nametags for the exhibitors.

  6. Conference-related duties (during conference)

    • Assist with registration.

    • Assist with the Exhibitor’s and Conference Raffle as necessary.

    • Assist with taking pictures during the conference

  7. Conference-related-duties (post-conference)

    • Submit photos taken during the conference to the webmaster to be published on the website.

  8. In general perform all duties incidental to the Office of Secretary and such other duties as from time to time may be assigned to him/her by the President or by the Board of Directors.

 

Treasurer

The treasurer shall:

  1. Have charge and custody of and be responsible for all funds and securities of IN-NELL; receive and give receipts for moneys due and payable to IN-NELL from any source whatsoever, and deposit all such moneys in the name of IN-NELL in such banks, trust companies or other depositories as shall be selected in accordance with a resolution of the Board of Directors.

  2. Prepare an annual budget and submit it for approval to the Board of Directors

  3. Keep a register of the post office address of each Member which shall be furnished to the Treasurer by such Member;

  4. Conference-related duties (pre-conference)--

    • Be available to all potential Conference participants to answer questions about the Conference.

    • Prepare receipts for participants.

    • Make arrangements for location and food for participants

    • Send a reminder with last minute details before the conference via e-mail to all Conference participants

  5. Conference-related duties (during conference)

    • Assist with registration.

    • Assist with food delivery and availability of facility on the day of Conference

  6. Conference-related-duties (post-conference)

    • Pay the presenter(s) stipend and any other outstanding invoices.

    • Submit and pay to NNELL dues for new or renewed annual memberships (once a year).

    • Present statement of income and expenses of the Conference to the Board of Directors.

  7. Represent IN-NELL before other organizations such as IFLTA

  8. Have general charge of the Membership books of IN-NELL; and

  9. In general perform all of the duties incidental to the office of Treasurer and such other duties as from time to time may be assigned to him/her by the President or by the Board of Directors.\

 

Public Relations Officer

The Public Relations Officer shall:

  1. Promote IN-NELL and be its spokesperson

  2. Represent IN-NELL before other organizations such as IFLTA

  3. Prepare a plan to increase attendance to the Conference.

  4. Conference-related duties (pre-conference)—

    • Put together the Flyers for the Conference (save the date, and information)

    • Recruit vendors for Conferences

    • Put together Registration form

    • Support the promotion of the Conference by creating and distributing the Conference Flyers.

  5. Conference-related duties (during conference)

    • Take care of vendor setup, needs and other arrangements

    • Be available for whatever issues may be needed.

  6. Conference-related-duties (post-conference)

    • Send Thank-You letter to vendors with open invitation to the next Conference

  7. Promote such events as the IN-NELL Breakfast/Swap Shop during IFLTA Annual Conference and/or Central States Conference

  8. Perform as liaison between NNELL and IN-NELL

  9. Perform such other duties as from time to time may be assigned to him/her by the President or by the Board of Directors.
